About The Team

The Workflows Module is the key component of HighLevel’s automation engine, enabling agencies and businesses to create powerful, automated workflows that enhance efficiency, save time, and improve outcomes. By integrating with multiple product areas within the HighLevel platform and external apps, the Workflows Module empowers users to streamline processes, nurture leads, and manage tasks seamlessly.

The Workflows extended team powers the extensibility layer of HighLevel. Integrations are critical to enabling agencies and businesses to connect their external ecosystem - CRMs, email systems, form builders, contact tools, and other SaaS platforms - into HighLevel workflows.

This team focuses on building deep, reliable, and scalable integrations that go beyond surface-level triggers and actions. The goal is to reduce framework gaps, improve time-to-ship for integrations, and ensure that integrations meaningfully drive workflow adoption, activation, and retention.

About The Role

We are looking for a Product Manager to join the Workflows Team, with a strong focus on Integrations, Framework Enablement, and Vertical Ownership. This role is ideal for a self-driven individual who is passionate about automation, SaaS ecosystems, and building scalable platform capabilities.

As a PM, you will lead the strategy and execution for integration verticals such as CRMs, Forms, Email Systems, and other key ecosystem partners. You will own these verticals end-to-end - from API evaluation and framework readiness to configuration design, user experience, adoption, performance, and long-term reliability.

You will work closely with cross-functional teams including engineering, design, partnerships, and other product managers to deeply understand user pain points and ecosystem opportunities. Your responsibility will be to translate these insights into scalable framework improvements and high-impact integrations that make it easier for users to automate complex business processes.

Beyond shipping integrations, you will proactively identify framework gaps before they become delivery bottlenecks, reduce integration time-to-ship, and ensure every integration meaningfully drives workflow usage, customer adoption, and ecosystem growth. You will leverage data, user insights, and structured experimentation to continuously improve integration performance and product impact.

Your Responsibilities

  • Integration Vertical Ownership: Own assigned integration vertical(s) such as CRMs, Forms, Email Systems, or Contact Platforms end-to-end, including roadmap, delivery, reliability, and adoption.
  • API & Configuration Definition: Review third-party API documentation and define integration configurations including authentication flows (OAuth, API keys), field mapping, data types, webhooks, polling strategies, pagination, rate limits, retries, and UI configuration controls.
  • Framework Gap Identification: Proactively identify missing workflow framework primitives and drive fixes before engineering execution begins to avoid reactive delivery slowdowns.
  • Adoption & Activation: Ensure integrations are deeply leveraged by improving trigger/action quality, importer flows, data parity, and workflow entry points such as hotlinks and breadcrumbs to increase activation and usage.
  • Reliability & Quality: Improve integration reliability, success rates, and execution consistency across triggers and actions.
  • Support Insight to Product Fixes: Analyze integration-related support tickets and ecosystem feedback to identify recurring friction and drive product improvements.
  • Tracking Metrics: Track integration time-to-ship, triggers/actions shipped per sprint, workflow usage tied to integrations, and reliability metrics to continuously improve performance.
  • Documentation & Enablement: Partner with documentation and AI teams to build high-quality help content and structured knowledge for both customers and AI-driven assistance.
  • Staying updated on industry trends in APIs, ecosystem integrations, automation platforms, and no-code/low-code tools to drive innovation within workflows.

Your Core Skills

  • Experience in one or more of the following:
  • Product Management
  • Platform or API-based Products
  • SaaS Integrations or Ecosystem Platforms
  • Passionate about building intuitive and scalable workflow automation solutions.
  • Ability to deeply understand user problems, spot friction in product flows, and make thoughtful trade-offs between power and simplicity.
  • Strong understanding of API concepts including OAuth, REST APIs, webhooks, pagination, rate limits, and data modeling.
  • Ability to deeply understand ecosystem workflows, anticipate framework gaps, and make thoughtful trade-offs between speed and scalability.
  • Comfort with digging into integration reliability metrics, workflow usage data, and support patterns to find actionable insights.
  • Understanding of product development lifecycle and experience working on SaaS platform products.
  • Strong analytical mindset to interpret activation funnels, adoption trends, and execution reliability.
  • Leadership and collaboration skills, with the ability to work cross-functionally and drive platform initiatives forward.
  • Understanding of automation tools and workflow best practices to enhance user experience.
  • Ability to deconstruct complex system interactions and simplify them into intuitive configuration experiences.
  • Familiarity with workflow automation platforms, CRMs, or integration ecosystems is a plus.
  • A systems thinker who thrives in a fast-paced, execution-driven environment.

Experience

  • 4 to 6 years of Product Management experience ideally in SaaS or automation platforms
  • Proven track record of shipping complex, user-facing features in a fast-paced environment
  • Proven experience owning large-scale, customer-facing product platforms
  • Experience working on workflow automation tools or CRM platforms is a plus

Deep Understanding of:

  • Workflow builders, automations and no-code or low-code platforms
  • Product funnels: activation, retention, and reducing time to value
  • Identifying friction points in UX and translating feedback/support data into product decisions
  • Cross-team platform work: enabling other product teams through triggers, actions, and integrations
  • API integrations and ecosystem design principles
  • Workflow builders, automations and no-code or low-code platforms
  • Product funnels: activation, retention, and reducing time to value
  • Data parity, imports, synchronization systems, and reliability engineering
  • Cross-team platform work: enabling other product teams through triggers, actions, and shared primitives
  • Working with engineering on scalable frontend + backend architecture
  • Running feature discovery and validation loops for ecosystem products
  • Partnering closely with design to simplify complex integration setups
  • Writing clear, structured PRDs and communicating roadmap tradeoffs to stakeholders
  • Analyzing data from tools like Superset, Pendo or Tableau to inform product decisions
